The lead is not picking up: what to do before writing them off

A lead who does not pick up is usually a busy lead, not a cold one. Three things change the outcome: message on WhatsApp before calling (it leaves a trace and context, and demands nothing immediately), persist with a plan — up to four or five attempts spread across different days and times, not five calls the same afternoon — and close the loop in writing before you archive them. And record the real reason when you do: «no answer» hides several different problems and stops you fixing the source.

11:40. A qualified lead arrives: kitchen refit, owner, wants to start in September. You call at 11:42, proud of your response time. No answer. You call again at 12:15. Nothing. At 18:00 you mark it «no answer» and move on.

You almost certainly just lost a customer who genuinely wanted to hire you.

Why would someone who just asked for a quote not answer?

Because filling in a form takes thirty seconds on the train, and taking a call takes ten minutes and somewhere to talk. The usual reasons have nothing to do with you:

  • They are at work, in a meeting, with children, or driving.
  • They do not recognise the number and assume spam or a scam — plenty of people no longer answer unknown numbers at all.
  • They asked several suppliers and are waiting until they can talk properly.
  • They typed their number with one digit too many or too few.

Message before you call

A WhatsApp message solves almost all of those at once: it says who you are, it proves you responded, it demands no immediate attention, and it can be read in thirty seconds. It also turns your unknown number into a contact with a name and context, so the next call is no longer from a stranger.

Persist — but with a plan

The difference between a business that closes and one that complains about lead quality is often this: one tries once, the other has a sequence. A sane sequence for local services, without becoming a nuisance:

  • Minute zero: WhatsApp message the moment the lead lands.
  • After 15–20 minutes: call. If there is no answer, do not leave only a voicemail — write as well.
  • Same day, different slot: if it came in during the morning, try late afternoon. People have schedules, not probabilities.
  • Next day: second phone attempt, another slot.
  • After three or four days: one final closing message.

Four or five attempts spread over different days and hours is healthy persistence; five calls in one afternoon is harassment and rules you out permanently. Plenty of figures circulate about the optimal number of attempts, nearly all from sales-software vendors — treat them as an order of magnitude, not as science. What is solid is that hardly anyone goes past the first attempt, so the second one already sets you apart.

The last message is the one that gets answered

Before archiving, send something short and free of reproach: «I have not managed to reach you, so I will stop bothering you. If the kitchen is still on, message me and we will pick up where we left off. If you have already sorted it, no problem at all.» It closes the door without locking it — and it is remarkably often the message that gets a reply, precisely because it asks for nothing.

Record the real reason, not «no answer»

«No answer» blends at least four different situations: wrong number, genuinely unreachable person, already hired someone else, and never had any intention. Only the first is fixable in the form, and you will only know if you log it separately.
